NASSAU HOUSE ASSOCIATION
BOARD OF DIRECTORS MEETING
OCTOBER 23, 2007

Board Members Present: Michel Pytlarz, Tom Puntillo, Joe Hess, Marge Trani,

Absent:  Tony DeCesare   

Michel brought the meeting to order with the reading of the last meeting of Sept. 11th.

Minutes were approved as read.

Treasurer’s Report: 

·        Savings Account                   $ 28,696

·        Checking Account                 $126,243

·        Special Assessment             $  36,460

Joe reported 95% of maintenance has been received.   Unit #203 is under foreclosure.  We have not received maintenance fees on this unit for one year. A shortfall of $4,000 on our budget due to this foreclosure.  Report accepted as read.

Fence – Riverside Drive

Bids received on new fence along Riverside Drive. PVC fence is the cheapest we have received coming in at $10,500. All other bids approximately $25,000. It was decided to table this until we know if we have the monies to do this.

Landscaping:

We have also received bids on new Landscaping. Dan Ramos gave us a general bid of $1800 per month, cutting weekly. Weeding, remove palm froms, etc. Ted Connors gave us a detailed contract for $1,800 per month, but seemed to include more services (annuals twice a year, etc.). After a discussion it was decided to ask for references from both, and ask Dan Ramos to give us a detailed contract on what they will do. Board voted to table this item until we have more information. Contract will start on January 1st of 2008.

2008 Budget:

Joe reported that he will meet with Jim Vaught of Smith Watson Parker to get another quote. Doris to check with vendors for any increase they may have for next year. Board members will review their monthly budget report and they will go over the budget in November. Board would like to have the insurance work within the fiscal year (January) instead of starting in November.

Pool Maintenance:

Board again received two bids for pool maintenance. Both Ike’s Pool and Knox Pool came in with $425 per month cleaning twice a week. Ike’s Pool is the company who takes care of our pool heater and pumps. This is also tabled. Contract for our current pool maintenance is up at end of year. Our current maintenance for pool is $200 per month, but board is not satisfied with the up keep of pool on a regular basis.  Miguel has been keeping tabs on the pool maintenance people and asking them to do items that should be done on a weekly basis.  This also will be tabled.  Board to evaluate our current service.

Update on Resurfacing Parking /Paving:

Michel has had a lot of meetings with Hardrives, including calling in a lab to come in and take a sample of the blacktop to make sure we got S1 grade. Michel is not satisfied with the blacktop. Michel has also met with the Vice President of Hardrives who was very concerned that we were not happy with the work and that we are holding back 10% of the money due them. Issues are covering over drain hole and it has not been repaired, the striping at the car areas was done wrong, car stops placed in wrong place. Now cars are pulling in too far and then become to close to the car in front of them and are now bumping into each other. Hardrives has placed a lien on our building and now the engineer has sent them a letter stating that this is wrong because the work is not completed. Michel asked that they give us a 3 year warranty, which Hardrives reluctantly agreed to. Engineer received a call on Monday 10-22-07 stating that Hardrives will come out very soon to do all the repairs. Problem is moving the cars in the parking lot for the day so they can redo the parking strips and car stops. Only problem we have with the front area is a pooling coming from the rains. The pooling does dry up fairly quickly, so board seems to feel to let this be as is.

MC Pavers did come back in and lift all of the pavers and relay them back down to prevent pooling. MC Pavers will come back in this week to work on the curb area of the circle, repair broken pavers in the rear of the building and repair the sink hole area by laying concrete and then the pavers.

Miguel will look into renting a machine and doing this job himself. Quotes received at $2,000 to do this. 

A/C Pump:

Morton Pump and Drilling will come back to check on the pump and shaft when the weather becomes cooler. A/C may be turned off for a few days.
