NASSAU HOUSE ASSOCIATION Board Members Present: Michel Pytlarz, Tom Puntillo, Joe Hess, Marge Trani Absent: Tony DeCesare Michel brought the meeting to order with the reading of the last meeting of Oct. 23, 2007. Minutes approved as read. Treasurer’s Report: · Savings Account $ 28,733.75 · Checking Account $106,038.84 · Special Assessment $ 33,270.05 Report accepted as read by Joe. Hardrives: Michel reported that Hardrives have come in and repaired some of the items that needed correction, and we are still waiting for the repair of the water line that was hit during the paving under the carport. The new pavers in the front, the raising of the curb around the circle and wheelchair ramp are completed. The pavers just have a few minor repairs to do at the back. Miguel to stencil numbers on North and South rows. Fire Alarm System: Bids have come in excess of $100,000 to replace the fire system. When replacing the system, we would have to upgrade to the current code for the county. Bass Alarm Fire Systems, has come in and found a replacement part for our current system and has made the repair. After the annual inspection in January 08, we hope to know how long we have to upgrade the system. (Possibly 12-18 months) Bass Alarm can come in if this current board goes bad and replace the board itself for approx. $10,000 but are not sure if the county fire inspection will let us do this without the upgrade being done. If so, they would give us another 12 months to comply. (The fire sprinkler system is another upgrade that is still in question with the state to be done by 2014) Board voted to leave this as it is now, so as not to have an assessment at this time. A/C Pump Repair: The pump is becoming very noisy. Bearing is either broken, or going bad. We are waiting for cooler weather in the next few weeks to have the pump pulled up and inspected. We will be without Air Conditioning when this is done and any parts would have to be replaced. This may take a few days. This will not be done during the holidays, A/C Units: Complaints have come into the board about owners who mainly live on the upper floor have had repairs done to their a/c and found sludge coming out of the system. Michel is trying a different routing system to see if that helps. We have had Total Systems (Engineering Co.) of Miami come out and take a look at our system and found it could be that not enough pressure is getting to the top floors to clean these systems. We are waiting for the company to give us a full report as what could be done to correct this either by a chemical solution or replacing pipes. Pool Maintenance: Board not really satisfied with our current pool maintenance company. Again we found problems with the pool pump after their last cleaning. Board now receiving bids from other maintenance companies. Board considering Ike’s Pool Co. to come and do the maintenance since they already have installed the pool heater and pool pump repairs. Estimate is $425.00 per month. We now pay $200.00 per month. We would have to give the current company a 30 day notice. Joe will contact Ike’s Pool to see if they will do the maintenance and check the heater and pool pump for the $425.00. Landscaping: Board has received three bids one from Dan Ramos Landscaping, Ted Conner and K&D (our current maintenance company) to replace our current service. All the bids are much higher than we are currently paying, but they will include more services. Board wants to talk with Sandi since she is the one who met with each of these companies before deciding on which company we would hire. Tabled till next meeting. Building Insurance: This year we put our insurance needs out for a competitive bid which included our current provider - Smith Watson Parker, Wells Fargo, and Insurance Offices of America. The process enabled us to save approximately 27% on our property and liability insurance (does not include wind) or approximately $15,000. However, the majority of our total insurance bill $138,000 - the wind insurance – was not impacted by the bidding process for several reasons: 1, Citizens is still the only company insuring beach-side, multi-dwelling properties for wind and therefore all insurance companies receive the same quote for a specific property; 2, we did realize a reduction in our premium due to an industry-wide rate reduction and mitigation credits for our new roof, unfortunately this rate reduction was completely offset by the increase in our property value previously reported from 2004 (in 2004 we were appraised at $14,434,000 and for this year $17,800,000) – Citizens now requires a certified annual appraisal before providing a quote on wind. Budget: Board reviewed the budget for 2008. The board had hoped to reduce the quarterly maintenance but due to the insurance not having much of a reduction, and various increases, it looks as if the rates will remain about the same. We are reviewing to see what we can cut, and will finalize at the next meeting. Riverside Fence: As of this meeting the board decided to table till next year the fence replacement as we do not have the money for this project. Parking: The board is looking into parking along the north wall, as this is assigned as overflow, not permanent parking. We have several vehicles that have not moved in weeks. Polish Lobby Floors: Quotes received at $2,000 to properly clean and polish. Ongoing Meeting adjourned 10:45 PM |
