NASSAU HOUSE ASSOCIATION
ANNUAL GENERAL MEETING
 JAN. 24, 2007

BOARD MEMBERS PRESENT: Michel Pytlarz, Tom Puntillo, Joe Hess, Tony DeCesare, Marge Trani

Members Present:      93 and Doris Schmidt (Office Manager)

Michel opened the annual general meeting and welcomed all.

VOTING INSPECTORS:

Val Davis, Ruth Schnieder, Maggie Yanketis, and Nell Itahara. (Thank you all!)

VOTES COUNTED:

119 Envelopes—Quorum was met.

PROOF OF MEETING NOTICE:

First mailed November 21, 2006, and the second mailed and posted on December 20, 2006.

Reading and disposal of any unapproved minutes:

Secretary Marge Trani read the minutes of last years general meeting, held on January 25th 2006.  Minutes approved as read.

TREASURES REPORT:

Money was borrowed from the special assessment account to help pay for the initial payment for the insurance back in Nov. and this will have to be paid back to this account as soon as possible.  Joe spoke up about the budget explaining the overages on laundry expenses, electric, water and attorney fees.

Reports of officers.

Michel spoke of all the items on last years minutes that have been repaired or purchased:

New roof completed and now in place, roof fans have been purchased and repaired. New pool hot water heater for pool house has been installed. Also a fiberglass tank that holds the out take water filter system has been put in. Exit lights have been replaced. Building has been power washed and looks nice and clean.  Hallway painting to start next week.  Monies for the hallway painting have been received from the insurance claim along with new carpeting.

Many thanks to Sandy DeCesare for the beautiful grounds here at the Nassau House.  Sandy has spent her time with the beautiful flowers that we now have.  People not living here in the Nassau House speak up on how nice it looks.

Glass doors are being repaired.  Electric from generator will now work in the lobby area, recreation room and the office should we have another storm or loose power in the building.  Owners will be able to have meetings, use the kitchen, except for the oven, this will run off generator.  One elevator will run off of generator.

Board of Directors is looking for volunteers to work on the grievance committee.  Many of the Rules and Regulations are being broken and the committee can meet with the owner who broke the rule and they will decide if any fine is necessary and report back to the board.  Owners must fill out a contractors form when having work done in their unit.   Many of the work done in the unit require a permit from the city.  No work is allowed to be done on Sundays.  No delivery is allowed on Sundays.  Contractors must clean up after themselves.  Owners are responsible.  Hallways and catwalks are being damaged by the dirt etc. being left on the rugs and catwalks.

Michel explained the increase in the maintenance fee for the year due to the wind insurance.  Florida State Legislature just voted to have the Citizens Insurance reduce the insurance wind fees.  It may be only 10 to 15 % reduction, which would mean less than $90 back per owner.

Vice President Tom Puntillo spoke up about his concern on the environmental issues.  He believes that the Nassau House should work with the environment and help in many ways. 

Board Member Tony DeCesare spoke about the enjoyment of being in the Nassau House.

Marge Trani introduced the new owners for the 2006 and gave a moment of silence for those owners to passed away during this past year.

HURRICANE PREPAREDNESS:

Nassau House must now post Hurricane Preparedness List.  Directors are working on this list and will have posted. Currently, the list is as follows:

  1. Owners must take in all items from the balcony.  Owners can not call on the maintenance staff to take the items in.
  2. Owners who have shutters should close them.
  3. Shutters on the front door and pool breezeway area will be closed.  You will have to use the rear entrance doors only.
  4. Catwalk door (glass) will be locked and you must use the Laundry Room door.
  5. Doors to roof will be bolted shut.
  6. It is the owner’s responsibility to find their own place of shelter away from Nassau House in case of evacuation.  Don’t wait till the last day to leave.
  7. Owner’s responsibility to have enough food and water to last them for 5 days.
  8. In case of electric failure, the generator will kick in for the elevator use and the recreation room will have electric power.  Stove will be useable, But, not oven.  Electric power for lobby and office as well.
  9. Nassau House has 2 (two) portable charcoal grills for emergency use only.  Charcoal is available.
  10. Volunteer to help when you can.  This was so very helpful during the last hurricane.

The board welcomes any suggestions for additions. Please forward any to the office.

Michel went further on to inform the owners that when they leave for the season they must take in ALL items left on their balcony.  It is not up to the Nassau House maintenance and other owners to take these items in.

ISSUE OF REVISED CONDOMINIUM DOCUMENTS:

New Condominium Documents have been rewritten/updated by our attorney are now ready for all owners to receive.  Any amendments changes for the past years are now printed in the new documents old documents should be thrown away.  See Office to receive your new documents.  New Condominium Documents have been registered with the county and state. New Rules and Regulations are also being issued, and owners should make themselves, and their guests, aware of changes.

RESURFACING OF PARKING LOT:

We are waiting for date for the repaving of the parking lot.  Owners must move their car to the city parking lot for the time the parking lot is shut down.  Emergency vehicles will be able to come onto site.  After parking lot is completed work on the pavers for the front part of the circle will take place and any needed repairs to the existing pavers in the back.  The dumpster will be placed in the front and owners are asked to help out by bringing their trash down themselves and place it in the dumpster.

TRASH SHUTE:

Large items are being tossed down the trash chute doing damage to the end of the chute, pulling it away from the ceiling in the trash room and doing damage.  It is up to the owners to let their contractors know they can not put down tiles, etc. down the chute..

FIRE ALARM:

The Fire Alarm system has been repaired during the past year, but there is no sure thing on how long this part will last.  It is a cost of $100,000 to install a new updated code enforced system.  With the new system an alarm will be placed in each unit to make sure all hear when the alarm goes off.

VOTING RESULTS:

The vote for Statutory Reserves was 58 against reserves and 12 for reserves.

The vote for an annual Audit was 48 against an audit and 9 for an audit.

The informal vote regarding current rental policy was 71 against change and 56 for.

The two new directors elected are Tony DeCesare and Tom Puntillo.

Michel reiterated the need for more volunteers to help keep our costs down.
